Registration & Availability Information

Registration Information - RefTown is now set up for 2012 registrations. 

Returning Officials – Log onto RefTown using your username/password (please do not register as a new user) and go to Public – Registration (Upper left hand side).

 New Officials – go to the www.reftown.com - GPVOA home page – REGISTRATION FOR OFFICIALS (Bottom of page under GPVOA Info) and follow the instructions.  You will receive a temporary password when your registration has been accepted into the system and be able to access the site. 

 All Officials – RefTown will send you a copy of your registration form at the same time it sends one to the commissioner. SAVE THIS FORM for future reference.  

 NEW Availability- Information from the registration form will automatically transfer to the officials’ directory NOT YOUR AVAILABILITY CALENDAR. It is your responsibility to confirm what is listed in the directory & on the availability calendar is accurate.   If the availability box is checked then the information listed is what the commissioner will be using to schedule you.  Only officials with checked boxes will be assigned.

2012 RefTown Availability Instructions

Please follow ALL the instructions below to fill out your availability (2011 has NOT been cleared)

It is your responsibility to make changes if necessary from prior years. 

 

1.     Log onto RefTown & go to “Schedules” (top left) -  “Availability”.

2.     GO TO THE MONTH OF SEPTEMBER TO START THE PROCESS

a.     The Cross-Organization information only applies to those working with another association during the same months as volleyball. 

b.     Click Edit Availability.

c.     Choose Priority #2 for initial set-up using the fastest method.

d.     Use Priority #1 for changing specific dates within each month for more detailed requests.

e.     Time Entered: If you enter 4:30 PM you are saying you can get to your matches at 4:00 PM.

f.      When changing individual dates in the future you can comment in the box on the specific date changed.

g.  If you use the available until option please advance the time up three hours from the time you are unavailable.

h.  Matches begin as early as 4:00 PM on weekdays (arrive at 3:30).  Allow for travel time. 

3.     You must click on submit information before you go to a different month or the system will not accept your changes. Updates to your calendar can be made at any time by following the same process and entering a comment as to what you are changing.   

To Scratch A School –

a.     Log onto Reftown, go to schedules, scratches.

b.     Choose School/Team, ignore everything else

c.     Be sure to click add scratch.

d.     Remember any scratched school will be unavailable to you both home and away!!!  This may severely limit your assignments.  It is better to just give me travel information in the comments box.

OUR ORGANIZATION

  1. Our organization is known as the Greater Portland Volleyball Officials Association (GPVOA) and was established in the early 1970's. The GPVOA is a certified association by the Oregon School Activities Association (OSAA). This affiliation allows the members of the association to work high school volleyball matches and provides and affiliation with the "National Federation of State High School Associations" (NFHS).

  2. We provide officials for 74 high schools, 35 middle schools, and line for 6 small colleges in the area. The classification of high schools are broken down as follows: 6A - 29; 5A - 14; 4A - 8; 3A - 11; 2A - 3 and 1A - 9.

  3. The Executive Board of the Association consist of eight (8) regular members who have been elected by popular vote of the membership. The office of Treasurer and the Commissioner are elected every three (3) years. The three Members-at-large are elected for a two (2) year term of office.

  4. Specific duties of each board member are defined by the Association's Constitution and By-Laws. The members-at-large are the direct representatives of all association members and any matter for board consideration should be brought through them.

    The Executive Board is responsible for a recruiting and training program for new officials and an in-service training program for experienced officials, coaches and players.

  5. Elections occur annually online and are announced at the last regular meeting in October. Anyone interested in running for one of these positions should contact the Nominating Committee.
